Edit Budgets
This feature lets you set up or change your budget amounts for the current year and next year. If you enter budget information and sales go over the allotted budget amount, the system warns the order-taker when orders are placed. There are two types of budgets you can set up or change, monthly and P/O.
If you use a monthly budget, any unused money from the previous month does not roll over. The budget is fixed. Also to receive credit for a return, the credit must be done in the same month as the original order. (This is the original order date, not the invoice date.) Otherwise, the credit is not added back to the budget amount. You cannot change budget amounts for the previous months; these budget amounts are grayed. You can only change the current monthly budget amount and the months following. For example, if the current month is July, you can change the monthly budget amount for July through December, but monthly budget amounts for January through June are grayed.
If you set up a P/O budget, the P/O number is issued for a specific dollar amount. The amount on the P/O is tracked until the dollar amount is reached. Any returns are automatically credited back to the P/O. If you are going to use P/O budgets, you must set up only one P/O for each department. If you have multiple P/Os, you must be set up with multiple departments.
Click My Account at the top of the web page and select Edit Budgets. The Edit Budgets page opens, defaulting to the monthly budget information.
Click the down arrow in the Customer Account box and select the customer to use for this budget.
To select a department within the customer account you selected, click the down arrow in the Department box and select the department to use for this customer's budget.
After you retrieve the customer, you can set up or change a monthly or P/O budget.
To Change or Set Up a Monthly Budget: Click the Current Budget or Next Year Budget box corresponding to the month to change and type the new information. You can also press Tab to move from box to box. (You can set up next year's budget without affecting a customer's current budget.)
To Change or Set Up a P/O Budget: Click the Switch to P/O Budget button. At the Are You Sure prompt, click OK. Click the P/O Number box and enter the long purchase order number. Click the Current Budget Used box and enter the dollar amount of the budget that has been used this year. Click the Next Year Budget box and enter the total amount of budget dollars for the next year.
When you finish setting up or changing monthly or P/O budgets, click the Save Monthly Budget or Save P/O Budget button. The information is immediately saved and updated.
