About Emails
The system currently sends confirmation and approval emails to your shoppers. In addition to plain-text emails, you have the ability to send emails in HTML format. The following emails can be sent using plain-text and HTML formats:
Order Confirmation
Order Submitted for Approval
Order Submitted for Fulfillment
Request for Order Approval
Order Approval
Order Denied
Payment Approval
Payment Declined.
Note: Plain-text emails provide your shoppers with a text-only option. They also can be attached to the bottom of HTML emails in case the shopper's email client cannot process and read the HTML version.
To begin, use the Text Editor page to set up your email information. You can create custom headers and footers for both HTML and plain-text emails. For example, you can have one page for the confirmation email header and then another for the confirmation email footer. With the HTML-capable editor, you can easily display objects you have uploaded such as images and flyer or catalog links, or links to specific pages, external sites, or customer-specific email addresses. You can also format the messages with fonts, color, styles, and so on. Once your email pages are created, assign them using the Emails tab in the Site Text Assignment page. Note: We recommend that you test your own HTML code to verify that it properly appears when using the various email clients.
If necessary, you can specify that certain shoppers receive only plain-text or only HTML formatted emails. Do this by retrieving the shopper in the Customer Management page. After you specify to Edit the information, click the down arrow in the Email Format box and specify Plain Text or HTML Capable. This box defaults to HTML Capable. You can also change this box when adding new shoppers.
An additional feature allows shoppers to specify which type of email they prefer to receive. They can alter this setting in two places:
When creating a new account by clicking the Register Me link.
When editing their existing information on the Edit Your Profile page after clicking My Account and choosing Update My Information.
